ADMINISTRATIVE ASSOCIATE
ETCA seeks a proactive and highly organized Administrative Associate to join its inaugural team. The Administrative Associate will support the development and management of all ETCA’s administrative systems, manage the creation of various informational and promotional assets, and ensure the implementation and maintenance of sound organizational processes. The ideal candidate is a self-starter that thrives in a fast-paced startup environment and enjoys working on dynamic projects that support the organization at large. This role will report to the Head of Business Affairs and has a projected start date of June 2025.
Job Responsibilities
- Manage team calendars, coordinating internal and external meetings, events, and travel.
- Prepare agendas, presentations, and materials for meetings; draft correspondence, agreements, and templates on behalf of ETCA leadership; manage hospitality arrangements for students, staff, and guests.
- Coordinate research and provide administrative and project management assistance at the direction of the Head of Business Affairs in support of the training center and all its internal departments (including Stagecraft and Technology, Arts Administration, Recruitment and Placement, and Student Services).
- Maintain and update internal systems including a CRM, event management software, Mailchimp, Canva, QuickBooks, Gusto, and others, ensuring all systems are functioning accurately and efficiently.
- Manage donor and subscriber data, ensuring that CRM records are updated in a timely and accurate manner.
- Manage general “info” email inbox and social media direct message inboxes, ensuring all inquiries are responded to accurately and in a timely manner.
- Support venue rental process, coordinating with outside renters and vendors for special events, as directed by the Head of Business Affairs.
- Liaise with janitorial service and other external vendors, ensuring they have proper access and resources to complete their tasks.
- Organize and reconcile team expenses.
- Miscellaneous duties, as assigned.
- This is a hybrid position and is expected to work on-site at least three days a week, with the potential for increased in-person requirement while the training program is running. This role may work occasional nights and weekends as needed for special events.
Candidate Requirements
- 2-3 years of experience working in administration or operations, preferably with an arts or nonprofit organization.
- Experience working in a startup environment or on a new initiative is a plus.
- Impressive communication skills, with the ability to skillfully communicate in writing, verbally, and within presentations.
- Solid problem-solving and time management skills, with the ability to anticipate needs, prioritize tasks, and manage competing timelines.
- A passion for higher education or workforce development.
- Proficient in Microsoft Office Suite, with some experience using other digital tools for organizational and project management.
- Ability to sit for a prolonged period of time, working often at a desk.
- Ability to lift a minimum of 20lbs and move about The Chance multiple times a day, interacting with students, artists, vendors, and colleagues.
- Ability to work in the U.S.
Compensation & Benefits:
- Salary Range: $60,000 – $70,000
- Competitive benefits package.
- In addition to ETCA’s observed holidays (which includes two full weeks off for winter holiday break), employees are eligible for 10 days of vacation and personal time and 5 days of sick leave per year.
